Three Steps to a more Cost Effective Print Environment

Following a 30 day data capture period the output of this stage is a short report which highlights the areas of change for optimising the printing fleet.

In our experience, clients are usually shocked when they see how out of control their printing arrangements have become. However, this is extremely common throughout many organisations in the public and private sectors as their printing functions have evolved.

So what actually happens during this phase of the process?

The main activities are listed below but the key aspect of this phase is that it is completely unobtrusive to the users and to the operations of the company.

Reduction
Reduction allows enterprises to restrict colour usage by user, enforce printing limits and redirect expensive print jobs to the most efficient printing device. Customisable pop-up messages can be utilised to notify the users of the cost of their print job before it is submitted and can offer lower cost alternatives. It is this shift to personal responsibility that enables organisations to realise the significant savings which can be achieved by undertaking a print audit review. As everyone is aware that all printing is being monitored, the amount of waste is vastly reduced as the users think twice before printing off a hundred page document “just in case” it is needed. In particular it is the reduction in printing emails that is the first quick win.

Recover
